Archiving & Deleting Workflows

Deleting

If a workflow has not been published yet, you can delete the workflow.

This will permanently remove the workflow from HINDSITE and is irreversible.

To do this, from the ellipses menu, select delete.

Archiving

If a workflow has been published, you can archive the workflow.

This will hide the workflow from default view and can be accessed at a later time.

To do this, from the ellipses menu, select archive.

To view an archived workflow, navigate to the workflow list view. Select the arrow next to status and toggle on the archived option.


Workflow Templates

Creating Templates

To create a template, within the workflow builder, select create template from the ellipses menu. This will take the workflow in its current form and create a template.

Using Templates

To start a new workflow from a template, navigate to the templates tab within workflows and press use template on the desired workflow template. This will create a new workflow from the template.

You can also update and modify templates by selecting the template and then edit on the side panel. Any changes you make to the template are automatically saved and available for anyone to use.


Sharing Workflows

Creating Links

Every workflow can be shared via URL or QR code. To share a workflow, you first need to create a unique link for that workflow. Each link is connected to a destination workspace (where the workflow report will be automatically saved to). Each workflow can have multiple unique links (of the same visibility setting), each designating a different workspace.

To create a link, first select the link icon for that workflow, then select which workspace you would like the reports to be saved to. You are only able to select workspaces which the workflow is currently in.

Generating URL's

To share this link via URL, simply select the link icon and the URL will be automatically copied to your clipboard.

Generating QR Codes

To share this link via QR code, simply select the QR icon. The QR code for this link will be displayed on screen and you are able to download it.

HINDSITE QR codes can be scanned using a devices built in QR code reader or, if the link is public, the QR code reader on the HINDSITE app (located on login page).

Private vs Public Links

Within the sharing link panel, you are able to toggle the workflow links visibility settings. By default, it is set to private. All links for a workflow are either private or public.

Private

Private links require a user to be logged into your organisation on HINDSITE before they can access the workflow via a link.

If a user is not logged in, or logged into a different organisation, and attempts to use a private link they will receive an error message and will be unable to access the workflow.

Public

Public links are available for any person to access.

If a user is logged into HINDSITE, they will be able to access the workflow using this link.

If a user is not logged into HINDSITE, upon scanning the QR code they will be prompted to download the mobile app. Then, they will need to provide their name and email address for the report.

Once they have done these steps, they will be able to action the workflow.

Upon completion a report will be generated as per usual and the user will be able to access only the workflow provided in the link (they will not be able to access any other workflows or content within HINDSITE).
