Actions Overview

Actions allow for users to create follow up tasks for themselves or other users. By using actions, you can track and complete tasks that need to be completed outside of a workflow or workset. Actions can be linked to workflows, steps, or work sets for additional context.

When viewing an action, you can see at a glance:

  • Who it is assigned to & created it

  • A due date

  • Priority

  • Status

  • Related item (workflows, steps, or worksets)

Users are able to create actions from a number of locations within HINDSITE.

Creating Actions

Users can create actions with or without a related item, however once the action has been created, the related item cannot be changed or added.

To create an action with a related item, navigate to the item within HINDSITE and select the actions icon . Related items can be a step within a completed workflow, a completed workflow, or a work set. You'll be taken to the create action screen.

To create an action without a related item, navigate to the actions list (underneath work in nav panel) and select add action. You'll be taken to the create action screen.

Create Action Screen

From here you can set the following information (* denotes mandatory field):

  • Title*

  • Description

  • Due date

  • Assign action to a user

  • Current status

  • Current priority

  • Media content

Once you have finished creating the action, select create action.

Editing Actions

Edit Action Screen

The edit action screen allows you to update/modify any of the fields within the action

(* denotes mandatory field):

  • Title*

  • Description

  • Due date

  • Assign action to a user

  • Current status

  • Current priority

  • Media content

Once you have finished editing the action, select save.

Status Update Shortcut

To update the status of an action without entering the edit action screen, you can select the current status of the action (wherever it appears) and select a new status from the list.

Viewing Actions

Actions can be viewed through either:

  • The actions list

  • On the related step, workflow, or work set

Actions List

In the actions list you can see all actions that you are assigned to or have created. If you are an admin, you can also see all actions within your organisation - regardless of who is the creator or assignee. By selecting edit, you can edit the action.

Related Item

First, navigate to the related item for the action you wish to view. You'll notice that a number appears next to the action icon indicating how many actions are present for this item.

Clicking on the action icon will the list of actions linked to this related item - you also have the ability to create a new actions for this item if you wish.

By selecting edit, you can edit the action.

Resolving Actions

Actions can be resolved either by completing them or cancelling them - actions cannot be deleted once they have been created.

Marking an item as completed or cancelled does not remove it from the related item, if present.

Completing

To 'complete' an action, select completed from the status list. This will move the action from open to completed within the actions list.

Cancelling

To 'cancel' an action, select canceled from the status list. This will move the action from open to cancelled within the actions list.
