External reviews allow you to send completed work to customers, contractors or other external stakeholders for review and approval, without giving them access to your HINDSITE organisation.
External reviewers can securely view the work shared with them, download the report, approve the work or request changes.
Enabling external reviews
External reviews can be enabled by an Admin from Settings.
When enabling external reviews, you can choose how many internal approvals must be completed before the work can be sent for external review.
Once this requirement has been met, eligible users will be able to request an external review from the completed work.
Requesting an external review
Once the required internal approvals have been completed, open the completed work and select the External tab within the approvals section.
Enter the external reviewer's full name and email address, then select Request review.
The reviewer will receive an email inviting them to securely access and review the completed work.
Completing an external review
External reviewers access their review through the secure link sent to their email address. A six-character verification code is sent by email to verify their access, so they do not need a HINDSITE account or password.
From the external review portal, the reviewer can view the completed work and download the associated report.
They can then submit their review by approving the work or requesting changes, with the option to include a comment.
External reviewers only have access to work that has specifically been shared with them. They cannot access the rest of your HINDSITE organisation.
External reviews are currently completed through the web portal and are not available through the HINDSITE mobile app.
Who can request an external review?
External reviews can be requested by:
Organisation Owners and Admins
Managers and Operational Leads assigned to the work order
Managers of the location associated with the work
For tasks, form contributors cannot request an external review. A standard member who created the work also cannot request an external review unless they otherwise have the required permissions.
Managing a reviewer's access
If a reviewer has not yet completed their review, they can be removed from the review request.
Once a review has been completed, the reviewer's access can instead be revoked. Their previous review remains recorded in the activity timeline, preserving the history of the review.
Access can be reinstated if the reviewer needs to access the work again.
Managing external users
Admins can manage external reviewers from External users.
An external user's name or email address can be updated here. External users who have never engaged with a review can be removed, while those who have previously completed a review can be archived.
Archiving an external user does not remove their previous review history.
Important things to know

Access is provided through the reviewer's email invitation and verified using a six-character code sent to their email address.
Previous reviews remain recorded when access is revoked or an external user is archived.
