The available statuses are:
Backlog
Scheduled
To Do
In Progress
Completed
On Hold
Cancelled
Some status changes happen automatically, while others need to be updated manually by an authorised user.
Backlog
Use Backlog for work that has been identified but is not yet ready to begin.
Only Admins, Location Managers and Group Managers can create a work order in the Backlog or move a work order into this status.
Work orders in Backlog are not visible to standard users.
When the work is ready to begin, an authorised user must manually move the work order from Backlog to To Do.
Scheduled
Use Scheduled for work that has a planned start date in the future. When the scheduled start date is reached, the work order will automatically move to To Do.
This means the work becomes available to users when it is ready to begin, without requiring a manual status change.
To Do
To Do means the work order is ready to be started.
A work order will move into To Do when:
An authorised user manually moves it from Backlog
A scheduled work order reaches its planned start date
A standard user creates a new work order
Once someone starts a work instruction within the work order, the work order will automatically move to In Progress.
In Progress
In Progress means work has started on at least one work instruction within the work order. The work order will move to In Progress automatically when someone begins work.
If an On Hold work order is resumed by recommencing work on one of its work instructions, it will automatically move back to In Progress.
Completed
A work order moves to Completed once all required work has been finished.
Completed work orders remain available for review, reporting and approvals.
On Hold
Use On Hold when work has started but needs to be temporarily paused. Moving a work order to On Hold is a manual status change.
If someone recommences work on a work instruction within the work order, the work order will automatically move from On Hold back to In Progress.
Cancelled
Use Cancelled when the work order is no longer required and will not be completed.
Cancelled work orders remain available as a record but are removed from the active work pipeline.
Note: Manual work order status changes are currently available on the web platform only. This capability will be added to the mobile app in a future release. Automatic status changes will still occur based on activity completed through the mobile app, such as starting or recommencing work.
