When creating or editing a work instruction, you can enable approvals to add an extra layer of review and validation before it’s published.
Approval options
There are three ways you can use approvals in HINDSITE:
Optional approvals: work instructions can be published without approvals; but reviewers still have the option to approve or request changes.
Minimum number of approvers: set a required number of approvals that must be received before a work instruction can be published.
Specific approvers: restrict approvals to designated users, ensuring only the right people can sign off.
Requesting and giving approvals
As a administrator or work instruction editor, you can request a reviewer or to approve a work instruction by clicking on the branch icon in the work instruction builder, next to the Publish button.
In the side panel use the Select User dropdown to add reviewers. Selected reviewers will receive an email notification if the work instruction status is set to Ready for Review. Click through to the work instruction via the link in the email.
Reviewers can approve, request changes, or add comments in the discussion section.
Configuring approval rules
You can configure approval rules either organisation wide or for a specific work instruction.
Organisation wide settings
Click on the cog icon in the top right corner of the screen and select Settings from the drop down menu.
On the General Settings page, configure your settings for:
Work instruction approvers: decide whether work instructions can be approved by editors/requested reviewers, or only by specific people.
Required approvers: set how many approvals are needed before publishing.
NOTE: Organisation-wide settings apply to all new and existing work instructions by default. If you override these settings on a specific work instruction, the organisation defaults will no longer apply.
Work instruction settings
To tailor your approval settings for a specific work instruction, open the work instruction and click on the eye icon to manage the same settings.
