Flagging steps and creating automated actions

Flagging steps

Flags are visual indicators added to decision pathways and multi choice inputs that highlight when something needs attention. You can use flags to help identify risks, issues, or important information captured during a work instruction.

To flag a step, click Edit step, then configure a decision pathway or multi choice input. Choose one or more response options to trigger a flag.

Once flagged, that step will show up in the Flagged items section of the completed report, making it easier for reviewers to spot key issues quickly.


Creating automated actions

Automated actions let you go one step further - triggering follow-ups based on the information captured in a step. Actions can be linked to decision pathways and multi choice inputs.

To create an automated action, click Edit step, then configure a decision pathway or multi choice input. Select the response option(s) that should trigger the action and click Manage Action.

Give the action a title and description, and assign to a specific user who will be responsible for the action.

Once the work instruction is completed and the condition is met, an action will be automatically created and assigned. The assignee will also receive an email notification letting them know a new action is waiting.

Note: to assign actions to multiple people, create a separate automated action for each user.
