Work instruction reports

Whenever a work instruction is completed, HINDSITE automatically generates a detailed report capturing all actions taken and data collected.

Web platform

You can view completed work instruction reports by clicking View Report in a work order.

Editing a report

You can edit the report title and any existing user inputs by clicking the pencil icon next to each editable field.

Note: You can only modify data for inputs that were originally included in the step configuration. For example, you won’t be able to add a media file to a step that doesn’t have a media input configured.

Every change made to a work instruction report is tracked in the Audit log, ensuring a complete history of edits is maintained.

Adding comments

You can Add comments to a complete report to capture additional information. Comments are timestamped and include the name of the person who made them.

Adding actions

Both automated and manual actions can be reviewed and managed from a completed report.

  • Automated actions are triggered based on conditions set during the work instruction configuration. These will appear automatically in the report if the criteria were met during execution.

  • Manual actions can be added directly to the report for any follow-up required after the work instruction is completed.

Exporting a report

Completed reports can be exported in the following formats:

  • PDF

  • DOCX

  • CSV

  • JSON

Before exporting, you have a few layout options:

  • Include instructional steps - by default, steps without user inputs are hidden in the export. You can choose to display these steps if needed.

  • Remove the flagged step summary - this hides the summary of flagged steps usually displayed on the first page of the report.

  • Adjust image size - choose between standard, medium, and large to control how media appears in the export.

Approvals

To approve a completed report or view its approval history, open the report and click on Approvals.

Exporting a report

Completed reports can be shared via URL or sent directly to one or multiple users via email. Tap the three dot menu in the top right corner of your device screen while viewing the report. From there, choose the sharing method that suits your needs.

Approvals

To approve a completed report or view its approval history, open the report and tap Approvals.
