To create a new work instruction, go to the Work instructions page and click Add work instruction. This will open a blank builder view where you can give your work instruction a title and description.
Adding steps
Start building your work instruction by clicking on the '+' button beneath the Start node.
Each step including the same key configuration options:
Step title - a short label describing the task being completed.
Step description - a more detailed explanation or guidance for the step.
Add content - attach images, videos, or PDFs that users can view when completing the step.
Add user inputs - enable users to input data as part of the work instruction.
If you want to reuse a step, use the Clone option and then drag it into the new location.
Organising with sections
Sections help you group related steps together. These groups appear visually in the mobile app and are reflected in the exported reports.
Click the '+' button between two steps, then click New section.
Incorporating step groups
Step Groups let you reuse predefined sets of steps. Each step group can only be used once per work instruction, but you can include as many different step groups as you need.
Click the '+' button between two steps, then click Step Group. Choose from your list of published step groups.
Publishing your work instruction
Every work instruction must end with a Terminal step to complete the workflow. Once a terminal is added, click Publish to make the instruction available.
When you publish:
All users with access to that work instruction will immediately see the latest version.
If a user is actively completing a work instruction when it's republished, they'll see a prompt asking if they want to update.
If they choose to update, any progress will be lost, and the latest version will load.
If they choose not to update, they can continue with the version they started.
Managing access
To control who has view and execute a work instruction, click Manage access at the top of the work instruction builder.
From here, you can choose to make the work instruction:
Available to all users in your organisation
Available to users at specific locations
Available to specific groups
Note: By default, when you publish a new work instruction without setting any access permissions, it will only be visible to you and other organisation administrators. This makes it easy to test and refine your work instruction before rolling it out more broadly.
