Understanding work order status and metrics

Each work order gives you valuable insights to help manage progress, track performance, and take action when needed.

Work order metrics

Work orders automatically calculate key metrics to show how work is progressing:

  • Time elapsed – total time spent executing each work instruction.

  • In progress – the percentage of work instructions currently underway.

  • Completed – the percentage of work instructions that are fully complete.

  • Participants – total number of users who’ve been assigned to or contributed to the work.

  • Work instructions – the total number of instructions included in the work order.


Work instruction status

Each work instruction within a work order has one of three statuses:

  • Incomplete – work hasn't started yet.

  • In Progress – work has started; one or more users may be working on it.

  • Complete – all work has been finished and submitted. You can view a full report for each completed instruction.


Flagged work instructions

Work instructions can be flagged to highlight areas that need attention:

  • Automatic flags – triggered based on specific conditions set in the Work Instruction Builder.

  • Manual flags – added by users while reviewing a completed work instruction report.

Flagged work instructions are marked with a flag icon and are also listed under the Flagged work instructions tab in the work order. Click View Report to review the flagged steps in more detail.


Actions

Actions help follow up on flagged or notable steps in the work:

  • Automatic actions – created based on configuration in the work instruction builder.

  • Manual actions – added directly from a work instruction report or from the work order.

All actions linked to a work order are visible in the Actions tab.


Approvals

Approvals can happen at both the work instruction and work order level:

  • Individual approval – each work instruction can be approved separately.

  • Full work order approval – once all instructions are approved, the work order is automatically approved.

  • You can also choose to approve a completed work order even if individual instructions haven’t been approved yet.


Export and Share

Need to share or save your work?

  • Share link – generate a URL to share the work order with other HINDSITE users.

  • Export – download any completed work instruction as a PDF or DOCX file for easy reporting or archiving.
