Work order progress
The progress bar on your work order displays:
Completed – the percentage of work instructions that have been completed.
In progress – the percentage of work instructions currently being worked on.
Additional information displayed includes:
Planned start and finish dates
Actual start date
Work order owner and operational leads
Assigned users
Related location, company, asset and project information
This provides an at-a-glance view of how the work order is progressing.
Work instructions
The Work Instructions tab lists every work instruction included in the work order.
For each work instruction you can see:
Work instruction name
Related asset
Assigned user
Current status
Participants
Start and finish dates
Time tracked
You can search and filter work instructions by status, date or flagged items to quickly find the work you're looking for.
Each work instruction will display one of the following statuses:
Status | Description |
Incomplete | Work has not yet started. |
In Progress | One or more users are currently completing the work. |
Completed | The work has been finished and submitted. A report is available to view. |
Approved | The completed work instruction has been reviewed and approved. |
Flagged work instructions
Work instructions can be flagged to highlight work that requires attention.
Flags can be created:
Automatically when configured within the work instruction builder
Manually by users while reviewing a completed work instruction report
Flagged work instructions can be filtered using the Flagged checkbox at the top of the page.
Select View Report to review the flagged steps and any supporting comments or evidence.
Actions
Actions help track follow-up work identified during execution.
Actions may be created:
Automatically from configured work instruction steps
Manually from a completed work instruction report
Directly from the work order
All open and completed actions associated with the work order are displayed in the Actions tab.
Alerts
The Alerts tab displays any alerts generated during the execution of the work order.
Alerts may be created:
Automatically from configured work instruction steps
Manually from an in progress work instruction.
Alerts will be sent to the assigned Operational Lead on the work order and provide visibility into events or conditions that may require attention while work is being completed.
Defects
The Defects tab contains all defects raised against the work order.
From here you can:
View and edit reported defects
Track defect status
Export defect information to PDF or CSV
Time Tracking
The Time Tracking tab provides a summary of time recorded against the work order.
Here you can:
View time logged against each work instruction
Add time against each work instruction or the work order
Review total time spent across the work order
Approvals
Approvals can happen at both the work instruction and work order level:
Work instruction approval – individual work instructions can be reviewed and approved once they have been completed.
Automatic work order approval – when all work instructions have been approved, the work order is automatically approved.
Manual work order approval - users with the appropriate permissions can also approve the work order without approving each individual work instruction.
Report and export
Completed work can be exported for reporting, record keeping or sharing with customers.
You can export:
Individual work instructions by selecting View Report, then exporting the report as a PDF, DOCX or CSV.
The entire work order as a single report, combining all completed work instructions and tasks into one document.
